The Position

The Office Manager will be a hands-on administrative coordinator and positive role model that demonstrates the ability to balance and execute both tactical and project related responsibilities.

They will work closely to attain the office goals, develop effective working relationships across all teams, and implement processes/schedules to ensure effective and efficient day-to-day operations of the office. You will work closely with our People Operations, IT and Facilities teams, and with teammates at all levels across Caban Systems. Specifically, you will be responsible for the office administration, reception and serving as the main point of contact for everyone in the Burlingame office.

This role will be a hybrid role as you will also help support the office culture and will include culture activities. As a member of the People team, you continually improve our employee experience via contributing to our Office and People programs and projects. You will support our Director of Culture in creating a friendly and inviting atmosphere for our employees and visitors, and as well as being an integral part of our People and Culture Experience Team. We are passionate about supporting each of our teammates by building equitable and inclusive policies, programs, and practices. This position reports to the Director of Culture.

We are a startup currently experiencing a phase of high growth. You will be asked to take on a myriad of tasks. We need someone that is flexible and is passionate about prioritizing time sensitive tasks. This is a great opportunity to get in with a burgeoning startup at the ground floor level. The individual in this role will be expected to be in the office 5 days/week.

Qualifications

Education
: BA degree preferred, but not required

Experience: Minimum of 1+ years of experience in a professional services environment, preferably at a startup, with an emphasis on customer service.


    Responsibilities

    Office

    • Day-to-day office operational support
    • Maintain all office supply inventory, ordering equipment & furniture, ensuring that health and safety policies are up to date, greet visitors, etc.
    • Facilities coordination/building management contact
    • Working closely with our 3rd party IT support, on-site IT related responsibilities such as supporting our video and conference room technology and generally acting as a resource for firm technology
    • Make the office a nice and welcoming environment, make sure everything is clean and tidy for our employees and guests.
    • Light research support for the marketing team.
    • Project related support to various teams as needed


    Workplace Culture

    • Office and team level communication responsibilities from both notification and assisting in reinforcing team success and office culture
    • Be genuine and enthusiastic about supporting a positive workplace culture.
    • Event planning, coordination and execution for both internal and external focused events. Events typically require after-hours on-site support.


    Skills

    • Demonstrate intermediate to advanced PowerPoint skills and intermediate Excel skills; experience with Asana a plus
    • Comfortable with technology, both learning new applications and being a resource in support of others
    • Provide exceptional client service to visitors, candidates, and employees at all times with a positive, upbeat and “roll up your sleeves approach”
    • Be a proactive and creative problem solver that can think outside the box, work independently, and seek guidance when appropriate
    • Demonstrate attention to detail, follow through on assignments to completion, and multi-tasking in an environment with rapidly changing priorities
    • Demonstrate strong time management, project management and organizational skills
